Roles in complyND 

Training Administrator: The users belonging to this role can view all system data. They can set-up courses, curriculums and schedule trainings for all trainees.

Department Contact: The users belonging to this role can view and edit all Supervisor/Employee relationship data. (dotted-line and direct relationships).  They can set themselves up as a dotted line supervisor who has the same rights and responsibilities as a supervisor.

Supervisor: The users belonging to this role can view data of trainees based on their Supervisor-Employee relationship. They can assign ad-hoc trainings for the employees they supervise and view the following reports:

  • Ad‐Hoc Course Setup Report - the details of the ad‐hoc courses.
  • Course Completion Report - provides information on the assigned courses completed by the trainees.  This includes the name of the course, name of the trainee, type of course, etc.
  • Gap Analysis Report - the details of all assigned training with the statuses of In‐progress and Not Started for users belonging to a particular organization. If a training has not been started and needs to be removed from a person’s training record, it can be removed in the Gap Analysis Report.  
  • Instructor‐Led Trainings (ILT) - details of the ILT courses in the system.  This includes name of the course, status (active, approval pending, inactive), schedule and time.
  • ILT Attendance & Completion Report - provides information on the courses assigned to each trainee.  This includes completion information, name of course, date of course, schedule and time, name of instructor, location and status.  
  • Track Failures Report - provides a list of courses that show a “Fail” test result.

Dotted-Line Supervisor:  A person that supervises an employee that is not a direct report. A Department Contact can assign a user this role.  Dotted line supervisors have same rights and responsibilities as a supervisor.

Trainee: The users belonging to this role can view data and execute tasks assigned to them only.

Inspection Administrator: The users belonging to this role can create and assign inspection questionnaires and surveys and view data of inspectors based on the organization to which they are assigned.

Inspector: The users in this role can respond to surveys assigned to them.

Issue Contact: These users can complete items assigned to them through the Issue Management system.  These may or may not be associated with a survey/inspection activity. They can view only the tasks assigned to them.

complyND Terminology

Course-Refers to an individual topic for training.

Course Test Questionnaire-If a course has a test associated with it, the test questionnaire will be assigned when the course is submitted.

Course Feedback Questionnaire-If the creator of a course wants trainees to give feedback on a course, a feedback questionnaire will be associated with the course.  The trainee can decide whether or not to provide feedback.  If a trainee agrees to provide feedback the questionnaire is assigned when the course is submitted.

Curriculum-A collection of courses that are mapped to organization, role, or custom user groups.

Due Date-Date that a task is to be completed.  

Escalation Email (Inspection)-Notification email to supervisor (direct and dotted-line when applicable) and issue contact when an issue has not been completed by the due date.  One email will be sent for each issue that is incomplete.

Escalation Email (Training)-Notification email to supervisor (direct and dotted-line when applicable) and trainee when training has not been completed by the due date.  One email will be sent for each incomplete training.  

Infoport-All related user objects which are grouped in a single section of the tab.

Issues-Findings that are determined to be hazards or compliance concerns that must be resolved.

Issue Contact-Building Managers or representatives who are responsible for facilitating the mitigation of issues that have been identified.

Percent Sign (%)-Also know as a wild card, the percent sign is a tool used to search for data.  Use the percent sign before and/or after partial text search (example - %sam% - to search for Samuel).

Reports:

  • Ad‐Hoc Course Setup Report - the details of the ad‐hoc courses.
  • Course Completion Report - provides information on the assigned courses completed by the trainees.  This includes the name of the course, name of the trainee, type of course, etc.

Trainings:

  • Instructor Led Training (ILT): course with a live instructor, setup for a particular set of target audience.
  • SCORM (Sharable Content Object Reference Model): a media-based course with a built-in SCORM file.
  • Hands-on Training: trainees are required to complete an actual, physical activity.
  • Media Based Course: a course that uses one or more types of media to present information (video, text documents, presentation files, etc.).
  • Ad-Hoc Assignment: used for assignment of one or more courses to individual trainees.

Validity Days-Number of days before the course will be reassigned to a trainee.
